Gate Out Process

  • Drivers will be required to present security with outgate documentation when departing the yard.  This will consist of a carrier BOL/load sheet (with company logo) or and AWC ingate/outgate form (See attached), along with a VSO/work order from each vehicle on their load.  See attached, “Outgate Doc EXAMPLE”.
  • In the event the load has changed, the driver must make changes on the outgate form.  This information must be clear and concise. If the driver does not take a unit on his load sheet, the driver will need to write, “did not take” on the outgate form, next to the VIN and the reason for not taking it. (Damaged, did not fit on truck, etc.)
  • Carriers will need to send a daily VIN list of what was outgated the previous day.  A list of outgated units on Saturday and Sunday can be sent on Monday morning.

Damage Notification Process

The following procedure applies to all vehicles being taken out of the Raceway Park Facility in Toledo, OH by authorized Auto Haulaway Companies. It is intended to define the proper notification process between the haulaway company agents and AWC Management or agents when damage is found on a vehicle and subsequently noted on the haulaway driver’s shipping document.

 

  1. All damage, regardless of severity, must be noted on the carrier’s shipping documentation.
  2. AWC Management or agent should be notified of all damage’s severity 3 or greater.
  3. AWC Management or agent will review the severity 3 damages, or greater, and sign off on the driver’s shipping document to acknowledge the validity of the damage before the driver removes the vehicle from the bay location.
  4. AWC will not verify and sign off on any damages that are noted on a vehicle that has been moved from the original bay location.
  5. AWC will not be liable for any severity 3 damages or greater that are noted on the driver’s shipping document if there is no signature of AWC Management or agent.

 

To notify AWC of damages the carrier can either notify security or call the AWC Office at 419-727-1534. Please have the VIN and location of the vehicle available to communicate with AWC.

 

ITR Reporting

  • Drivers are to report all issues, that prevent them from outgating a vehicle, to their dispatcher and/or an AWC representative on site.  Carrier representative will need to email the ITR concern to AWC for resolution. 
  • Once ITR is complete, an AWC representative will alert the carrier to add the unit back into the carrier inventory for shipment.

 

Yard Procedures/Rules

  • High visibility safety vest must be worn at all times.
  • No shuttling in vehicles.
  • No sleeping on site.
  • Speed limit is 15 mph.
  • No vaping or smoking.
  • Do not leave any garbage, tie-down straps, spare tires, empty fluid containers, or any personal items. All such items must remain in the trucks they came in on. Any fluid spills by the carriers must be cleaned up by the carrier and the waste must be taken with them.  Please do not leave used absorbent pads, used oil dry, etc. in Raceway Park.
  • No pets. 
  • Must be kind to others. No use of profanity or language that could be offensive to others.
  • Clothing must be clean to prevent soiling the interior of the vehicle.
  • Vehicle handlers must exercise care to keep carpets, seats, dash and side panels free from grease, dirt, mud and other foreign matter.
  • Gloves are NOT to be worn while operating or handling Stellantis vehicles.
  • Avoid shoe to door trim panel contact when entering or exiting a vehicle.
  • Reposition seat covers and floor protection when required.
  • Additionally, the following rules must be followed to prevent damage while handling the vehicle:
  • Avoid wearing clothing with accessories such as buttons, rivets, zippers and buckles (both in metal and plastic)
  • Avoid wearing watches, rings, bracelets, loose hanging jewelry/keys around vehicles.
  • Finally, the following general rules must be adhered to at all times:
  • Do no not eat, drink or smoke in or around the vehicle.
  • Do not leave any garbage or personal belongings inside the vehicle.
  • Avoid leaning against the exterior of the vehicle.
  • The use of cell phones, Bluetooth headphones and electronics is strictly forbidden while operating a Stellantis vehicle.
  • Excessive idling, speeding, racing of the engine, or spinning of tires is prohibited.
  • Speed is limited 15 mph or 25 km/h.
  • Avoid idling the vehicle excessively.
  • Do not operate or transport four-wheel drive units in 4-LOW.
  • Do not push the vehicle for manual starting.
  • Avoid using vehicles in storage for towing, shuttling personnel and/or material transport.
  • Passengers are prohibited (except for training purposes).
  • Avoid using 4-way hazards & interior dome lamps
  • The vehicle headlight switch must be left in the off/auto position.
  • Ensure the vehicle is in PARK prior to turning off the ignition.
  • Refrain from taking the vehicle out of ship mode.
  • It is imperative the above rules are followed to ensure we as a Logistics team our handling, shipping and delivering a premium quality vehicle to our dealers and customers. Your efforts to increase vehicle handling awareness will continue to drive damage down and increase overall dealer and customer satisfaction.
  • Note* High-end model vehicle keys are removed for theft prevention. This will include all Hellcat, TRX, and 392 models. Only an AWC representative will have access to these keys. Keys will only be available Monday – Friday (see staff hours below) .  Keys will not be available on Saturday or Sunday.
